At Actona Group, we are looking for a structured and service-minded Key Client Assistant who enjoys working in a dynamic environment and plays a central role in connecting customers, sales, and operations.

Work closely with one of our key global customers

In this role, you will become part of a dedicated setup focused on our collaboration with one of our most important and dynamic partners.

You will join a small, highly focused team consisting of one Key Client Coordinator and you. Together, you will ensure strong execution, coordination, and customer service across the entire order flow. You will report directly to the Client Director, giving you close access to decision-making and the commercial side of the business.

As Key Client Assistant, you are not “just handling orders”. You are ensuring that our customer commitments are delivered on time, with high quality, and with a strong sense of ownership.

You will act as the link between customers, sales, and internal departments – and play a key role in keeping everything moving.

Your key responsibilities

In this role, you will play a central part in ensuring a smooth and efficient order flow from start to finish. You will be responsible for coordinating between customers, sales, and internal teams, while maintaining a high level of accuracy and service.

Your main responsibilities include:

  • End-to-end order handling

  • Manage and process orders from customers, including creating and maintaining orders in our systems while ensuring accuracy throughout the process

  • Product and pricing validation

  • Ensure correct pricing, product details, and availability, and act as a quality gate before orders are executed

  • Coordination of deliveries

  • Coordinate deliveries with logistics, procurement, and suppliers to ensure timely and efficient execution

  • Customer communication and support

  • Act as the primary point of contact for order- and delivery-related inquiries, ensuring clear, professional, and timely communication with both customers and internal stakeholders

  • Data maintenance and operational support

  • Maintain customer data, product information, and price lists, while supporting the Key Client Coordinator and Client Director in daily operations

Your background

  • Relevant work experience (minimum ~2 years is an advantage)

  • Education equivalent to (HHX/STX/HTX); further education is a plus

  • Fluent in English (written and spoken)

  • Experience with CRM/ERP systems is an advantage
